I’ve never been to Philadelphia, so needless to say, I’m excited that Optometry’s Meeting will be hosted in Philly this year! While the one thing that I’m determined to see is the Liberty Bell, I’m sure that everyone else has different interests they can’t wait to check out. If you’re shopping for a practice management and EHR software at the show, we’ve compiled a list of to-dos and resources to prepare you before and after the show!

Pre-show
  1.        Use a Buying Guide to Evaluate Your Needs

When it comes to shopping for a practice management and EHR solution, you’re now faced with more options than ever before. And it can be overwhelming to check out all the systems and demos on the show floor. Our Buying Guide helps you to assess your practice needs so you know what to look out for and it can help narrow down your search by a whole lot. It also comes with an interactive evaluation kit you can use to help you through the process.

  1.        Be Familiar with Meaningful Use Stage 1 and Stage 2

The deadline for participating in the Meaningful Use Program is quickly approaching! If you do not participate by 2015, your practice will face penalties to its Medicare reimbursement. If you are just getting started with Meaningful Use Stage 1, read our Beginners Guide to find out how you can get started. If you are moving on to Stage 2, make sure you understand the changes and regulations that are going to be implemented this year. Then use your knowledge to pick an EHR vendor that can help you through the Meaningful Use Program.

At the Show

  1.        Fill Out Buying Guide

Before you head to the show, print out the templates provided in the Evaluation Kit at the end of your Buying Guide and bring them to the show. Our recommendation is to take the “Total Cost of Ownership” and “Software Feature Comparison” forms to each vendor and you can even get them to fill out the form with you! These templates are meant to help you lay out a side by side comparison of features you think are important.

  1.        Ask about Meaningful Use Certification EHR_Software_Uprise-1

If you did your pre-show prep, you should be familiar with the Meaningful Use Program. And if you are going to participate in it, you need to make sure that your vendor is 2014 certified. It is also a good idea to ask whether your vendor has modular or complete certification on top of just being 2014 certified.  

Note: If you are having trouble with the July 1st deadline and wish to avoid penalties, there is a hardship exemption you can apply for. And if you have any questions about it, stop by our booth and we’d be happy to help you.

  1.        Determine if Vendor is Cloud-Based or Cloud-Hosted

If you decide to go for a cloud-based solution, you need to make sure that it’s actually cloud-based and not marketing fluff! There are a couple of differences between the two, and you might find that one suits your practice better than the other. Take the opportunity to drill the salesperson with these questions.

After The Show

  1.        Follow Up With Vendors

Purchasing a practice management and EHR solution is a big investment at your practice and it’s understandable if you don’t want to make a hasty decision at the show. The week following these tradeshows is just as hectic for us as exhibitors. The focus of the week is usually to follow up with customers we met at the show. So this is the time to get in contact with us if you’re interested in what you saw at the show. And we’d be happy to schedule a follow-up demo to give you more information.

  1.        Discuss Options with Your Staff

We also think that it’s important to get your staff’s opinion, since they will be using the software just as much. Bring back your brochures and get them to sit in on your follow-up demos. Get them involved in the decision making process.
